Creating A Check List For Your Conference Centre

Jun 24, 2008
Hosting a great conference is extremely dependant on venue. Venues that are easy to access, are the right size for the number of delegates that you expect will attend and that serve good food in a good atmosphere are vital. There are a number of things that you must consider when you are searching for a conference centre for your event.

The things you must consider include the location of the conference centre, the cost of the conference venue, the capacity of the conference venue, the type of event that you plan to hold and the specialist needs of your event that need to be met for the event to become a success. The best way of getting an idea of exactly what you are after is to write down a few of your ideas and prioritise what you are looking for.

Once you have done that you will be able to hit the internet and search for a number of possible venues based on your criteria. So what might you be looking for from your conference centre?

Conferences generally refer to events that take place with a wide range of different people that attend. The conferences generally invite large numbers of people and finding a location that is accessible is extremely important. It is equally important to consider the transport links to the location that you have chosen.

If you pick a venue that is only accessible by car yet many of your delegates don't have access to a vehicle then it is likely that your conference will not be a success. If people struggle to get transport to a place it has a big effect on their motivation and enjoyment of the event. You will likely want to keep them engaged and inspired throughout and as a result considering their needs is vital.

The size of the venue is a very important aspect to consider. The primary aspect that you have to ensure is that the venue is large enough to hold the number of people that will attend the event. This is extremely important as a conference centre that is too full can become unbearable and seriously diminish the effect of the conference and after all you will want the best from your delegates.

Incidentally it is also extremely important that you do not find a venue that is too small for the number of delegates that you have invited. This is because venues that are too large for the number of delegates tend to end up feeling quite empty and this can often be detrimental to the atmosphere in the conference. This will be as bad as having too many people in a small space.

Type of event

The type of event that you hold is an extremely important factor to consider whilst you choose a venue. If you need a venue for a fashion conference you are likely to want something with a real wow factor whilst if you are hosting a training conference you are likely to want a venue that has lecture theatres and other training rooms.

The type of event is likely to dramatically affect your choice and you need to consider the specialist requirements of your event. You may for example be hosting an IT event and in this case it would be extremely important that you have the adequate technological infrastructure in the venue that you choose.
