5 Things to Consider When Choosing a Conference Venue in London
Choosing the correct venue for your conference is integral to its success, so you need to do a fair amount of research online and in person. London has plenty of spectacular venues suitable for a range of different seminar sessions, set in vibrant city surroundings. The following five tips are some essential points for consideration when choosing your conference venue.
Transport. Your key note speakers, guests and other attendees are going need to be able to find your conference with as little hassle as possible. Your best bet is choosing a location near to one of the main bus or train stations. Thankfully London has a fairly reliable transport network. However, it is a good idea to research whether there are going to be any major disruptions to services in and around your venue that may affect people attending.
Accommodation. Depending which venue you choose, if you go for a hotel then accommodation will be on-site and for this convenience, it's not a bad idea. Often the hotel will offer you all inclusive conference deals that include the renting of the space, as well as discounts on hotel rooms. If you decide on a venue without these facilities, you may want to choose somewhere close to a hotel and not the opposite side of London.
The venue itself. This choice will be largely dictated by the nature of your conference, whether it's speaking based, or exhibition centred or a general meet and greet. The dimensions and room types will have to complement the purpose of your seminar. You want the space that will excite and inspire your visiting delegates and breathe life into your event, while providing the perfect balance between comfort and contemporary style. In addition, can the venue provide all the necessary technical equipment with a technician on site? This is obviously vital; there will be presentations and speeches requiring perfect visuals and audio, as well as strong internet connection and suitable lighting.
Location. Perhaps not quite as pertinent as the above points but can still make a difference. We've mentioned location in relation to transport which is of primary importance. However, the environment in which your venue is set is also key. It's unlikely you'll get views of the river Thames, Houses of Parliament and Big Ben.
Catering. Perhaps not the most pressing issue in your venue choice but still an important point that needs organising. The venue will help or handle this entirely for you. Often their restaurants have a simple set menu for events such as these, from which you can choose several dishes to be served in the interval. Hungry guests won't be happy guests, so make sure there's a range of food and refreshments.
With choosing conference venues, it's a good idea to shop around and do plenty of research. Leave yourself a lot of time to plan and prepare and your event should play out seamlessly.
