Simple Filing Guidelines for Your Home Office

As a small home business owner, you should be able to operate easily from your desk. This can be done by a proper filing system and it is not at all difficult, as it seems. It can be made much easier by implementing a few filing tips and tricks.

An effective filing system is very essential to a home office. Good filing means that you should be able to find everything when you need them, without any problem. A good filing system can be categorized into a main category and a sub category.

You can sort your main files into the main category such as the Financial, Marketing and Expenditure files. Once you know where to look for the important information, you must determine whether you want to file your important files alphabetically, numerically or subject wise. But, before settling for a particular filing system, think of the different options available and then select the best, according to the home office space.

1. Basic filing systems have three subcategories:

. Alphabetical (A,B,C,D etc)
. Numerical (1,2,3,4 etc)
. Chronological (Jan,Feb,Mar etc)

You should choose the one you prefer the most. For example, if your prefer maintaining files of your customers by using their last name, then the alphabetical filing system will work best.

If you plan to file by using the sequential filing numbers, then the numerical filing system will be perfect.

If you find it necessary to find things by date, then the chronological filing system should be the ideal choice.

2. Determine the storage requirement- Do you have many files that need to be accessed daily? The answer will determine the need of a desktop file holder or a filing cabinet. So while buying, think of growth and buy something which could accommodate twice the files you currently have. This will limit the number of times you may have to resort to reorganizing the filing system.

3. Invest in the best labeling system for clarity- Satisfactory clarity will save more filing time than you can ever imagine. Many companies who are into labeling also make templates that integrate with most popular word processing software. If a file is not labeled properly, it is very difficult to find an important file.

. Write the subject on the tab of the file folder, close to the top of the tab, so that it is easily visible through the files. Use a medium point black marker to label your files for easy viewing.
. Always use minimum words while writing on the tab.

4. Purchase folders- Always invest in colored hanging folders, as they are easily available and easy to recognize. For example, if the client files are in yellow hanging folders and the blue folders contain financial information and the red folders have marketing information, it will be easier for you to access information quickly. Then there will be no problem while searching for a particular file.

A broad subject category allows you to easily add new files as you grow and this will eliminate the need for constant upgradation or reorganization of your filing system. These simple and easy file management tips will help you to keep your files accessible. Happy filing!
