Organizations Look to Video Conferencing to Cut Costs

By Christine Harrell

It wasn't long ago video conferencing was an expensive technology out of reach of any but the wealthiest companies. Advances in digital technology have made this solution not only cost effective, but often cheaper than alternative meeting solutions.

Video Conferencing is Cheaper than Travel

Companies are using video conferencing to get people from all over the world in the same virtual room. While telephone conferences are adequate for some remote meetings, often there is a need to use visual aids for a complete presentation. In the past, the only solution was for participants to travel to some agreed upon location.

Video conferencing is less expensive than the travel expenses involved in getting a group of people together. Unlike travel, video doesn't get more expensive with distance. It costs the same to include someone in Argentina or Japan as it does someone in the office across the street. Even small businesses often have global contacts and video conferencing is an invaluable tool.

The technology saves money not just in travel expenses, but also in time spent. Participants log in right as the meeting begins and log out as it ends, spending no more time than the conference takes. No longer do people have to spend two days traveling for a three hour seminar.

Use Professionals Rather than Doing It Yourself

With digital technology designed to be inexpensive and easy to use, many companies are tempted to try video conferencing themselves. These attempts typically end in disaster. While it may seem easy to point a camera, the wealth of technical details such as staging, audio, lighting and more are the difference between a slick production and a painfully amateurish video.

Skilled videographers have better equipment than a company is likely to buy for itself. They have the experience to quickly diagnose and fix any technical glitches. Their past experience allows them to set up quickly, give advice on everything from how to speak to how to dress on camera, and create a video feed which puts your organization in the best light.

Companies Turning to Court Reporters for Video Services

Rather than searching for professionals who make wedding and birthday videos, organizations often have better luck hiring a court reporting agency for video conferencing.

Legal videographers know more than just how to create a video. They know how document events. They create an unbiased record of the proceeding for the company's archives, a record containing all information with no important details left out. Court reporters use their skills to create a more comprehensive accounting. This could be a transcript of the session, included as part of the record and indexed to the video. They can also provide realtime captioning of the video for the benefit of hearing impaired viewers.

Video itself is not a new technology, but it has become an inexpensive and easily available resource for businesses, allowing them to expand their reach and communicate with people all over the world.
